    Scout the room before the doors open

    Austin venues run the gamut — the ACC ballrooms, Fair Market, Palmer Events Center, hotel ballrooms downtown. Camera positions, house lighting, and power access differ in every one, so we walk the room and confirm sightlines with the AV team ahead of the first session.

    Take the board feed for audio

    Room audio from a camera mic is unusable for a keynote. We pull a clean line from the house mixer with a wireless lav as backup, which is the single biggest quality difference between usable session video and footage nobody watches.

    Plan the interview corner early

    Executive, speaker, and sponsor soundbites are the most reusable footage from any event. A quiet lit corner near the main hall, booked into the run of show, gets those interviews on the record without pulling anyone off schedule.

    Build the run of show into the shot list

    Registration, opening remarks, breakouts, sponsor moments, networking, and the closing beat each need coverage. We work from your agenda so nothing that mattered to a stakeholder is missing from the edit.

    Confirm rights and releases

    Attendee signage, speaker permissions, and sponsor logo usage need to be settled before the event, not after. We flag what to include in registration terms so the footage is cleared for the campaigns you plan to run.
